Electronic Filing Bulk Instructions – Dbase File (DBF)


SBOE supports Electronic Filing for Dbase III+ compatible files. Note for Foxpro this is the "foxplus format." You may download a sample DBF file from our website.

Bulk files are uploaded through our upload utility MASSFILE.EXE which should be downloaded at this point as well. Click here for instructions to download and use MASSFILE.EXE.

SBOE will inform you electronically within a day or less of successful receipt of your bulk files with a full parcel listing of parcels received.

Note: Any discrepencies or issues with lost parcels, while rare at this point, will be generally ruled IN YOUR FAVOR as we are HIGHLY ENCOURAGING agents to use the process. We are very concerned with making this a safe and secure process and will go to great lengths to make sure that any agencies issues are dealt with favorably by SBOE. BULK FILING AND YOUR FILINGS ARE A SAFE COMBINATION.

The structure of the sample Dbase III+/Foxplus table follows, with descriptions for each field. Note that these fields correlate very closely to the DOR130 form. You may wish to have the DOR form available while studying them.

For Appeals with Multiple Properties the following logic should be followed:

  1. A record with complete information for the initial property on the appeal should be sent.

  2. Set the LMULT field to .F. (false) for this first record since it is not a multiple but the "primary" parcel for this appeal. (For single parcel appeals this is always .F.).

  3. Enter separate records for remaining "multiple" parcels on this appeal. Set the LMULT field to .T. for these records as they are "multiples" on this appeal.

  4. You needn’t repeat superfluous information on these "multiple" records except to make sure that all fields starting with nbook, nmap, cparcel (or roll number) are filled in. Just as with the DOR130 form separate information need not be given for multiples beyond the actual parcel and value information.
